I will bow to JDAW's etiquette in these matters but I have assumed VPs first as this is the main subject of business.
Not sure how the glass situation works out at B&F but as the Colehitas can be served straight from the bottle I was going to leave them aside for a free pour after the hard work is done.

I would suggest asking for the additional glasses; if they are able to be provided, it would be nice to be able to have a "flight" of the colheitas towards the end (re-washed glasses being an option). That works. My experience is that it is easiest to confirm arrangements when the place is quiet and the staff have the chance to take some time to work through things with you. If you're not able to get there early(ish) on the 10th then it might be better to drop them an email with what you want and ask if you can have a chat about your email when you arrive at 6pm.

Interestingly, the label says it was bottled in Oporto in 1970 - a third year bottling.
